How to apply for UNESCO jobs

Apply for UNESCO jobs through its SAP SuccessFactors candidate portal. Standard applications combine an online profile, an Employment History Form and three motivation answers; consultant and internship instructions can differ.

Key Takeaways:

  • Use UNESCO Careers and read the exact notice before preparing documents.
  • Standard applications require an online profile and Employment History Form, with motivation answers in the form.
  • Consultancies can specifically request a CV, technical proposal and financial proposal instead.
  • Internship applications enter a six-month candidate pool; an eligible application does not guarantee placement.
  • Check the deadline’s stated time zone and review carefully: current notices prohibit changes after submission.

1. Find the notice and identify the route

Start with suitable UNESCO jobs, open the original notice and follow its application link. The central careers site is careers.unesco.org; its candidate sign-in runs on SAP SuccessFactors.11 Save the vacancy text and position number before applying so you can return to the exact criteria when preparing for selection.

Identify the contract and recruitment category first. A fixed-term international post, locally recruited position, consultant assignment and internship pool can require different documents and eligibility. The UNESCO organization profile gives context for its education, science, culture and communication work; your notice defines the actual assignment.

Read the duties as well as the job family. A Communication and Information Sector role may focus on media freedom, digital inclusion or information policy. It should not automatically be treated as an external communications or social-media position.

2. Check nationality, qualifications and language requirements

International Professional posts: UNESCO’s standard educational requirement is an advanced university degree in a relevant discipline; certain posts require a doctorate. Excellent English or French is the general language standard, but the notice can specify the language actually required for the assignment.2

General Service: Candidates need entitlement to work in the duty-station country. The standard educational background is secondary, technical or vocational schooling, sometimes with additional secretarial, business or commercial qualifications. A vacancy outside your country is not automatically an international recruitment opportunity simply because UNESCO is an international organization.3

National Professional Officers: Candidates should be nationals of the country of employment. These are professional roles with national-context knowledge, normally requiring an advanced degree. Residence or an unrelated work permit is not the same as meeting a nationality condition.4

Use the actual requirements rather than a generic UN grade chart. For example, the Apia P-3 Programme Specialist notice requires four years of relevant experience and excellent English. Its stated preference for two years at international level is distinct from the overall minimum. Check required and desirable qualifications separately.10

Before drafting, match each mandatory criterion to a qualification, employment period or concrete example. If the requirement is programme implementation, show what you implemented, for whom and with what result. Familiarity with the subject alone is weaker evidence than performing the requested work.

3. Create the correct candidate account

Choose Sign in / View Profile, then Create an account if you are new. The public form asks for email and confirmation, password and confirmation, first and last names, telephone country code and number, and country or region of residence. Read the data privacy statement and the displayed password requirements before creating the account. Fixed-term UNESCO employees are directed to their internal profile on the intranet.11

Use an email address that will remain accessible throughout recruitment and keep the same account for your applications. Check carefully that your name and contact details are correct before moving on. Creating an account does not itself apply for the job; return to the vacancy and complete the requested application.

4. Complete the profile and Employment History Form

For the standard application, complete My Candidate Profile and download the current Employment History Form from its Windows or Mac instructions. Describe responsibilities and achievements in that form. The general FAQ does not permit a CV or cover-letter attachment as a substitute.1

UNESCO application documents depend on the route
RoutePrepare for this application
Standard staff applicationOnline candidate profile, Employment History Form and three motivation answers in the form. A CV or cover letter does not replace them.
ConsultancyThe specific proposal package in the notice. The audiovisual-cataloguing example requests one PDF containing a CV, methodology and financial proposal.
Internship poolPrepare the CV, motivation and skills/interests information in advance; use the internship form’s own instructions.

In the education record, choose Country and City before the Institution. If your institution is missing, select Other – Cannot find my school in the list and enter it in Other Institution.1

Prepare accurate job dates, employers, qualifications and working arrangements before entering the record. Make part-time and concurrent work clear. Distinguish a team’s output from your personal contribution, and replace vague phrases such as “responsible for projects” with evidence of the scope, decisions and results of your work.

Update the Employment History Form for the vacancy before uploading it. Check that the document opens and that the final version agrees with the online profile. Keep a copy of exactly what you submitted, including the notice and motivation answers, so that you can prepare from the same record later.

Consultant exception: Follow explicit assignment instructions. The IBE audiovisual-cataloguing consultancy, for example, requests one PDF in the Employment History Form section containing a CV, a one-to-two-page methodology and a financial proposal. This overrides the general staff-document workflow for that notice. Do not send a fee proposal for a staff post or replace a requested consultant proposal with the generic history form.9

5. Write the motivation answers within the limit

The standard application replaces an attached cover letter with three Motivation to Apply questions. Each answer has a limit of 1,024 characters. Draft against the actual prompts and count characters, including spaces.1

Use the limited space to connect your experience to the specific work. A useful answer identifies a relevant assignment, your action and a result, then explains its relevance to this post. Choose complementary examples across the answers instead of repeating the same introduction three times. Avoid spending most of the limit on general praise for UNESCO.

Read the pasted version again. Check for truncation, missing punctuation and inconsistent dates or claims. A concise answer that directly addresses the question is more useful than filling every available character with material unrelated to the requirement.

6. For internships, prepare for a pool application

UNESCO’s programme requires applicants to be at least 20. Academic routes include current third-year or final-year bachelor’s study, a second university degree or postgraduate study, and recent graduation. Technical or vocational applicants need final-year status or recent graduation. Excellent written and spoken English or French is required.5

Check the graduation-date rule in the actual notice. The current Education Sector intake measures the recent-graduate route against issuance of the Internship Agreement, with the degree completed no more than 12 months earlier. The general programme page describes eligibility at application. A graduate near the limit should resolve this before relying on the broader interpretation.6

Prepare your CV, motivation and examples of skills and interests in advance. UNESCO says you have only one hour to finish the internship application, so draft longer answers outside the portal first. Apply in English or French and prepare unofficial translations of documents in other languages. This internship guidance is separate from the general staff FAQ’s no-CV attachment rule; follow the fields and instructions of the internship notice.5

Internships are unpaid. The Education notice requires interns to arrange visas, finance travel and have comprehensive health insurance; UNESCO’s limited workplace coverage does not replace it. It also says UNESCO signs its own internship agreement and does not sign a university’s third-party convention de stage. Check any compulsory university agreement before investing in a placement.6

You apply to a candidate pool, not a guaranteed internship opening. The Education notice says candidature remains valid for six months and selected applicants are contacted by managers. It specifically treats no update within that period as an unsuccessful application. Keep your availability and contact details realistic throughout that window.6

7. Use the sponsoring route for YPP and traineeships

Young Professional Programme: UNESCO’s YPP targets nationals of non- or under-represented Member States and requires an advanced degree and fluent English or French. The current call determines age and other eligibility. Applications go through the applicant’s National Commission or Permanent Delegation, which preselects candidates. UNESCO does not accept direct applications for this programme. It is a different recruitment route from the UN Secretariat’s YPP examination.7

Sponsored Traineeship Programme: This route requires candidates aged at least 20, at least three completed years of full-time university study and proficiency in English or French. Individuals apply only through the sponsoring donor or partner institution, following that entity’s timetable; UNESCO evaluates the preselected candidates. Do not send an ordinary internship-pool application expecting it to secure sponsorship.8

8. Submit before the notice’s deadline and preserve the record

Review the application, history form, motivation answers and declarations before submission. Check the time zone written in your notice: the Apia staff example uses midnight Paris time. Do not assume every UNESCO notice uses your local midnight. Current staff and consultant notices say applications cannot be modified once submitted; do not plan on withdrawal and reapplication as a correction method.10

After submitting, open Jobs Applied and check the specific position rather than assuming a completed profile proves receipt. Keep any system confirmation and a copy of your final materials. If the portal reports a problem, retain the error and position number and follow the help instructions displayed there.

For a Geneva opportunity, the Switzerland application guide explains the immigration questions to raise with HR. An international staff appointment, local post, consultant assignment and internship do not necessarily confer the same status.

9. Respond to document requests and prepare for selection

The current staff notice allows recorded video interviews, written assessments, panel interviews and reference checks. It says candidates will be informed of their outcome, without promising a fixed response date. Prepare relevant examples against the advertised competencies and follow the actual invitation for the assessment sequence.10

When UNESCO Staffing requests documents, open the relevant application under Jobs Applied. Its FAQ directs candidates to My Employment History Form/My Documents, with a 5,000 KB limit per document, and to Application information for referees. Save using Update and check the success message.1

A portal notification of selection is not the official Letter of Appointment. Read it carefully and respond through the requested channel; the FAQ distinguishes that notification from the formal appointment letter.1
